How to Avoid Double Bookings on Airbnb, Booking.com and Vrbo
A double booking happens when two guests reserve the same property for overlapping nights. It almost always happens to hosts who list on more than one site, because each site keeps its own calendar and the calendars only talk to each other on a delay.
The good news is that it is mostly preventable. You do not need expensive software to avoid it. You need one source of truth, calendar sync that is set up correctly, and a few habits for the gaps that sync cannot cover.
Why double bookings happen
Three causes account for most double bookings:
- Sync delay. Calendar sync between sites is automatic but not instant. Booking.com says its calendar sync is not in real time, and Airbnb refreshes imported calendars on a schedule. If two guests book inside that window, both bookings can succeed.
- Manual blocks that never get copied. You take a booking by phone, message or through a friend, block it on one calendar, and forget the others.
- A broken or missing link. A sync link was never connected for one listing, was pasted wrongly, or stopped working after a listing was recreated.
Step 1: decide where the truth lives
Pick one place that always has the full picture of every booking and block. Some hosts use their main channel. Others use a spreadsheet or a management tool. What matters is that you check it before you say yes to any new date, and that every other calendar is fed from the same data.
If you use Staynora, your calendar can import reservations and blocked dates from Airbnb and Booking.com through their iCal links. Overlapping stays are refused instead of being added twice, so a conflict shows up on your screen instead of at your front door.
Step 2: connect every calendar in both directions
Each platform gives you an iCal export link for your listing, and each lets you import other calendars by pasting those links. For full protection, every channel should import the calendar of every other channel. Our guide on how iCal sync works walks through the exact steps and refresh times for Airbnb, Booking.com and Vrbo.
Step 3: use advance notice and preparation time
Because sync has a delay, the riskiest bookings are the ones for tonight or tomorrow. Airbnb lets you set advance notice (from same day with a cut-off time up to at least 7 days) and preparation time between reservations, and it automatically blocks those days on your calendar. A day of advance notice shrinks the window where a delayed sync can cause a conflict, and preparation time protects your cleaning day.
Step 4: block manual bookings everywhere, right away
- Confirm the dates are free in your source of truth.
- Add the booking or block there first.
- Block the same dates on every channel that does not sync automatically, or wait for the next sync and check that it arrived.
- Do this before you reply to the guest, not after.
What to do if it happens anyway
- Decide which booking stays. Usually that is the one that was confirmed first.
- Contact the other guest quickly and honestly. Offer help finding a comparable place if you can.
- Read the platform's current rules before you cancel anything. Airbnb notes that fees or other consequences may apply when a host cancels a guest's reservation.
- Find out why it happened (which link, which delay, which manual block) and fix that one thing.
Frequently asked questions
Is iCal sync real time?
No. Booking.com states that calendar sync is not in real time, Airbnb updates connected calendars every 3 hours, and Vrbo lists a 30 minute sync for its app. Treat it as fast but delayed.
Can a double booking still happen with calendar sync turned on?
Yes, if two guests book inside the delay between syncs. Advance notice settings and checking manual bookings reduce that risk.
