Self Check-In Instructions: A Template Guests Can Follow

By Staynora Team · Oct 21, 2026 · 6 min read

Most arrival problems come from instructions that are unclear, out of order or buried in a long message. A good arrival guide is short, has steps in the order the guest will meet them, and says what to do when something goes wrong.

Five rules for clear instructions

  1. Write in the order guests experience it: finding the place, parking, entering, then settling in.
  2. One action per line. Short sentences beat long paragraphs.
  3. Say it with a photo or a landmark where you can (the door, the lockbox, the parking spot).
  4. Give a backup for anything that can fail: a second way in, a phone number, a nearby alternative.
  5. Send the full guide before arrival and a short reminder with the access details on the day.

Copy-and-edit template

Replace everything in {braces}Hi {guest name}, welcome to {property name}. Here is everything you need for a smooth arrival.

1. Address and arrival

  • Address: {full address}. Map pin: {map link}.
  • Check-in from {time}. If you expect to arrive after {time}, tell us your estimated arrival.
  • Last bus or train stop and walking directions: {short directions}.

2. Parking

  • Park at {spot or street rules}. {Anything to avoid, such as resident-only bays.}

3. Getting in

  • Find the {lockbox or keypad} at {location}.
  • Enter code {code} then {#, or press the button}. The code is active from {time} on {date}.
  • If it does not open, call {phone} and we will help right away.

4. Settling in

  • Wi-Fi: network {name}, password {password}.
  • Heating or cooling: {how it works}.
  • Bins and recycling: {days and location}.
  • Quiet hours: {times}.

5. Check-out

  • Check-out by {time}.
  • Before you leave: {close windows, lock door, return keys, start dishwasher}.

6. Need help? Message us here or call {phone}. For emergencies call {local emergency number}.

Details that save you messages

  • Early check-in and late check-out policy, stated plainly.
  • Where to buy groceries, and the nearest pharmacy.
  • How the shower, oven, or any unusual appliance works.
  • House rules, including noise, smoking, parties and pets.

Keep codes out of messages sent long before arrival. Send access details on the day, and change door codes between guests where your lock allows it.
